About Notifications and Permissions

Windows for creating, updating or editing most application items include a Notifications & Permissions or Notifications section. This section allows you to select which workspace members you want to notify about the creation or changes to the item, and if it includes a View option, gives you the ability to restrict who can view the option.

How the Notifications or Notifications & Permissions section works

The Notifications (or Notifications & Permissions) section lists all workspace members with unrestricted access to the item. By default this list includes all those members with a workspace-level role of Manager, and the creator/owner of the item. You can add workspace members to the list and select to notify them.

If the section includes the View column, view permission is automatically given to everyone with unrestricted access (you cannot change this) and to all other workspace members (you can change this).

To restrict view access to specific team members, clear the Everyone Else option and use the Member Directory to select workspace members. When you give explicit view permission to a subset of workspace members, other workspace members will not see the item in lists and will not be able to access it. If you include the Restricted column in your custom list view, a Restricted icon () displays next to the item.

For details about using the directory to select team members, see Using the User Selector.
