Importing Dynamic Application Data

 

Project managers can import data into a dynamic application from three types of files:

Each row in the import file represents an item in the dynamic application. Each column in a row represents a data field. Each row must contain data for every required data field in the application.

Permissions

The ability to import data into an application is determined by the Manage All permission that is set within the application. By default, project managers have the Manage All permission. Without this permission, you do not see the Import Data option. For more information, see About Dynamic Application Permissions.

TO IMPORT DYNAMIC APPLICATION DATA:

  1. Navigate to the workspace with the dynamic application into which you want to import data.
  2. Click the Gear Menu and Manage Applications.
    The Manage Applications page opens.
  3. Right-click the dynamic application and click Import.
    The Select File to Import screen displays. The maximum allowable file size and number of rows displays on this screen. If your file exceeds these values, you must split it in order to import the data.
  4. Click Choose File, navigate to the .csv, .xlsx or .xls file to import, and then click Open.
  5. Click Import.
    The Map File Fields to Changepoint PPM Fields screen displays.
  6. Map fields in the import file to data fields in the dynamic application by selecting the appropriate field from each list in the From: File Fields column.
  1. Click Next.
    The Verify Mapped Fields screen displays.
  2. Verify that data is mapped to the correct field. If not, click Previous Step and modify the information in the previous screen.

    Errors:
    If there are records that will not be imported, a link displays so you can download a file of the problem rows and correct the issues.

    To see the problems, click Click here to download a file containing all the rows which contained errors. The file is created in the same format as your original import file. You can fix the errors in the file and import the file separately to get your remaining data into the application.
  3. Click Next.
    The Recycle Items Summary screen displays.
  4. Click the Recycle button to remove existing data from the DA prior to import. If you choose to replace existing data, the existing items are moved to the PPM Recycle Bin. For more information, see Recycle Bin Overview.
    Note: Clicking the Recycle button removes a maximum of 10,000 items from the DA. If the DA contains more than 10,000 items, the Recycle button can be clicked multiple times until the DA is empty.
  5. Click Next.
    The Confirm Importing of Items screen displays.
  6. From the Folder list, select a folder in which to store the imported items. By default, items are imported into the top-level folder.
  7. In the Notification Comments text box, type any comments to include in the notification sent when the items are imported.
  8. In the Access Permissions section, select users who can view the imported items and users who will receive a notification that the items have been imported.
  9. Click Finish and Save.
    The Import Items Summary screen displays. You will receive a notification when the item import is complete.
  10. Click OK.
