Workspace State and Approval Status - Overview

In combination, the values for State and Approval Status of a workspace provide valuable information about what point the workspace is in its life
cycle.
Approval Status
The Approval Status is updated automatically when a request is created, approved, or declined. This read-only field indicates
where the workspace is in the request process and depends on whether a requested
workspace has a defined approval policy (requires approval). Approval Status
options include:
- Pending
- Automatically generated for a requested workspace that requires approval
(a Workspace State of Request
is also automatically generated)
- Approved
- Automatically generated for a requested workspace that has been approved by all required approvers
(Workspace State remains Request)
- Automatically generated for a requested workspace that does not require any approval
(a Workspace State of Request
is also automatically generated)
- Automatically generated for a workspace that has been resubmitted for approval and has been approved
(Workspace State is unchanged from its current value)
- Declined
- Automatically generated for a requested workspace that requires approval or a workspace that has been
resubmitted for approval and has been declined by one of its approvers
(Workspace State is unchanged from its current value: Request
for requested workspaces, existing value for resubmitted workspaces)
- Not Required
- Automatically generated for a workspace that was generated directly (rather than from a request).
(Workspace State depends on the state of the workspace)
State
The State tells you what phase a workspace is in. This
field is automatically generated by PPM when a request
is created, or when a workspace is created directly without a request.
Once the workspace has been created (either directly, or when a requested
workspace is approved), the State is updated manually by users who
have permission to update the status ().
Values for State include:
- Request
- Automatically generated when a request is created.
- Not Started
- Automatically updated
when a requested workspace is generated by a user in the Request
application.
- Automatically assigned
when a workspace is created without a request.
- In
Progress
- Manually updated by users with permissions to update the status () after the workspace
is generated.
- On Hold
- Manually updated
by users with permissions to update the workspace status () after the workspace
is generated.
An On Hold workspace is one whose work has been temporarily halted but
which may be continued in the future. Tasks for On Hold workspaces do not appear on Timesheets unless actual hours are recorded on the task. Team members continue to have access to items in On Hold workspaces.
Note: Resources for On Hold workspaces are automatically released from Capacity Planner but must be manually removed from Resource Utilization and Resource Allocation, if desired.
- Cancelled
- Manually updated by users with permissions to update the workspace status () after the workspace
is generated.
A Cancelled workspace is one whose work has been halted without being
completed and which will not be worked on again. Tasks for Cancelled workspaces do not appear on Timesheets unless actual hours are recorded on the task. Team members continue to have access to items in Cancelled workspaces.
Note: Resources for Cancelled workspaces are automatically released from Capacity Planner but must be manually removed from Resource Utilization and Resource Allocation, if desired.
- Completed
- Manually updated by users with permissions to update the workspace status () after the workspace
is generated.
A completed workspace is one whose work is finished. Tasks for Completed workspaces do not appear on Timesheets. Team members can
continue to access items in completed workspaces.
