Report Details: Run With Options

 

When running a report from the Public Folders or My Folders report lists you can choose Run With Options from the Action Menu . Running the report with options allows you to schedule when the report runs, the format for the report or if the report will be viewed now or sent via email to others.

Note: Run with Options is not intended for scheduling recurring report runs. For more information, see Scheduling a Report to Run Automatically.

To Run a Report With Options:

  1. There are two ways to run a report with options:

The Run With Options window opens.

  1. Time—Select whether the report should run Now or Later.
    If you select Later, specify the date and time the report should run.
  2. Format—Select what format the report, the choices are: HTML (default), PDF, Excel 2002, Excel 2007, Delimited Text (CSV) or XML.
    Note: If you select Excel 2002 or Excel 2007, you may need to hold the CTRL key while the page loads if your browser is configured to not allow the loading of ActiveX controls. If your output is a blank window, try again while holding the CTRL key down.
  3. Delivery—Select what should be done with the report after it is run:
  4. View Report Now—Run and view the report immediately.
  5. Update Cache—When selected, this option runs the report at the specified Time, and updates the report cache with the output. See About Report Caching for details.
    If caching is enabled on the Report Details page, the date and time of the last cached version shows.

    Only available if you have write access to the report and caching is enabled on the Details page.

  6. Email Report—Run and email the report.
    If you select this option, type the email addresses of the people who should receive the report, along with a Subject and Body for the email message. The report is sent as an attachment to the email message.

    Note: If you are sending a report by email and the format is an Excel option, the output type is not .XLS. For more information, see Sending Reports by Email.
  7. Prompt Values—Set or edit prompt values for your report.
    Note: The report must include prompts in order for you to set or edit them here. For information about default prompts, see Report Details: Report Options. For more information about prompts in reports, see About Report Prompts.
  8. Click Set or Edit to update the prompt values.

  9. Select the values for each prompt.
  10. Click Finish

Important: Prompt values shown are the values that will be used for the next Run With Options. This means that for reports with cached output (see Update Cache above), the values shown may not reflect the prompt values used when the cached output was last generated.
