Custom Field Wizard - Calculation Definition / Aggregate Options

In the Calculation Definition / Aggregate Field Options step of the Custom Fields wizard, define your calculation field or specify options for an aggregate field.

The procedure you follow depends on which type of field you are creating:

• Aggregate field

  to define aggregate field options:

  1. Choose how you want to select the sources of the data the field will aggregate. The choice you make affects how you specify the source(s) of aggregate field data in the next step of the wizard.

  • Select by Workspace—Choose this option to specify by workspace those workspaces the aggregate field will use as data sources. (You specify these workspaces in the next step of this wizard.)
    
  • Select Workspaces by Workspace Type—Choose this option to specify the workspace types the aggregate field will use as data sources.
    
    If you choose this option you also need to select one of the following:
    
  • All Enterprise Workspaces—With this option, all workspaces of the workspace type(s) you specify in the next step will provide fields you can aggregate.
    
  • All Immediate Child Workspaces—With this option only immediate child workspaces of workspaces of the type(s) you select in the next step will provide fields you can aggregate.
    
    
  • All Descendent Workspaces—With this option, all descendent workspaces of workspaces of the type(s) you select in the next step will provide fields you can aggregate.
    
  • Select Applications—This option allows you to specify the applications the aggregate field will use as data sources.
    If you choose this option you also need to select one of the following:
  • Where items live in a Workspace
  • Where items live in a Workspace and Workspace Descendents
     

  2. Click Next Step to continue, or Previous Step to go back to the previous step of the wizard.
• Calculation field

  to define a standard, currency, or percent Calculation field:

  1. Select the name of a field from the Calculable Fields list and click Add to add the field to the Calculation Formula list.
     
     Note: Fields that appear in the Calculable Fields list are either custom numeric fields or native fields that are reportable and either Date, DateTime, Text, LongText, Yes/No, Item Number or numeric.
  2. Use your mouse to click the calculator buttons under the Calculation Fields list and add calculation operator(s) to the formula.
     The operator is added after the first field name in the Calculation Formula list.
  3. Click the name of a second field in the Calculable Fields list and click Add to add the field to the Calculation Formula list.
  4. When you are done, click Save & Finish, or to go back to the previous step of the wizard, click Previous Step.
      

  For example: To create a calculation field called Monthly Rent that will hold the result of a calculation between 2 other custom fields, Square Feet (an integer) and Price per Sq Ft (a currency field), you would select Square Feet in step 1 above, then click X to add a multiplication action to the calculation formula in step 2. Finally, you select Price per Sq Ft in step 3. The calculation for Monthly Rent will be the value of Square Feet multiplied by the amount in Price per Sq Ft.

  Field Type: Integer	x	Field Type: Currency	=	Field Type:Calculation
  Square Feet 2500	x	Price per Sq Ft 2.50	=	Monthly Rent 6250.00

   

  Note: The example above represents simple multiplication; however, you can create more complex calculations using multiple fields and parenthetical expressions.

  to define a concatenation Calculation field:

  1. Select the name of a field from the Calculable Fields list and double-click the name.
     The field name is added to the Calculation Formula list.
     
     Note: Fields that appear in the Calculable Fields list must be:
  1. custom numeric fields
     or
  2. native fields that are reportable
     and
     of one of the following types:
  3. Date
  4. DateTime
  5. Text
  6. Long Text
  7. Yes/No
  8. Item Number
  9. numeric
  2. Use your keyboard to add calculation operators (/, *, -, +) .
     The operator is added after the first field name in the Calculation Formula list.
  3. Double-click the name of a second field in the Calculable Fields list to add the field to the Calculation Formula list.
     
     Note: If you do not want the resulting field to run together, you can add a space between each field name and the operator you add.
  4. When you are done, click Save & Finish, or to go back to the previous step of the wizard, click Previous Step.

   

  to define a date difference Calculation field:

  1. From the first list, select a date from which to subtract the second date.
     
     Note: When a date difference calculation field is calculated, the second date is subtracted from the first. If the first date is after the second date, the result will be negative. Calculations are not adjusted for work days.
  2. From the second list of dates, select a date to be subtracted from the first date.
  3. When you are done, click Save & Finish, or to go back to the previous step of the wizard, click Previous Step.
• Count Field Options

  to define Count field options:

  1. Choose application to be the source of the data to be counted. The application must contain at least one of the supported field types: Short Text, Numeric, Date, Single-select Pick List.
  2. Choose an application field. The field's type will determine which operators are available in the next step.
  3. Set the condition for the count by selecting an operator and adding a value for comparison. The available operators for each field type are:

  • Short Text: Equal to, Not equal to, Contains, Does not contain, No value
  • Numeric: Equal to, Not equal to, Greater than, Greater than or equal to, Less than, Less than or equal to, No value
  • Date: On, Not on, After, Before, On or after, On or before, No value
  • Single-select Pick List: Equal to, Not equal to, No value
    
    

  4. When you are done, click Save & Finish, or to go back to the previous step of the wizard, click Previous Step.

Note: You may not go through every step. The steps you see depend on what kind of custom field you are creating.
