Importing Enterprise Users

Administrators can import information for multiple users from a Comma Separated Value (.csv) file. Doing this can save significant work by avoiding the need to add a large number of users to a PPM enterprise individually. A .csv file can be exported from sources such as address books or spreadsheets.

The .csv file must contain each user's first name, last name, and email address in separate fields. The file may also contain other fields that correspond to the standard fields in the User Details screen. When the file has been imported, all new users are sent an invitation to join your enterprise.

To Import Users:

  1. On the Administration Home page, under Users, click User List.
    The User List View screen displays.
  2. Click Import Users. The Import Users screen is displayed.
  3. Click Browse, navigate to the .csv file, and then click Open.
  4. Click Import.
  5. Click Next. The Map File Fields to Changepoint PPM Fields screen (Step 2) appears.
  1. To associate fields from the .csv file with fields in PPM, select the appropriate fields from the From: csv File Fields lists, and click Next.
    Note:
    Three fields are required, First Name, Last Name, and Email. You can map additional fields, including internal and external billing rates, if these are included in the imported file.
  2. On the Verify Mapped Fields screen (Step 3), verify that information is mapped to the correct fields.
    If the mapping is correct,click Next.
    If fields are not mapped correctly, click Back and modify the information in the previous screen.
  3. On the Select an Enterprise Role screen (Step 4), select an Enterprise Role for the imported users, and click Next.
  4. On the Customize the Changepoint PPM Invitation screen (Step 5):
  1. If you do not want to send a notification message to the new user(s), select Do not send notification to new users. With this option selected, the other fields are unavailable.

    Note:
    This option only suppresses the initial invitation sent to new PPM users to notify them about their new account. Selecting this will not impact other notifications from PPM.

  2. If you want to send a notification message, clear the Do not send notification to new users box, and make any edits you want to the Subject and Text of the invitation. This invitation will be sent as an email message to the new users.

  3. When you are done, click Next.
     
  1. On the Confirm Importing of Users screen (Step 6), confirm the information about the user import, and click Next when you are done. A summary of the import displays.
  2. Click OK to finish.
