Creating a Workspace From a Template

 

Project managers and other users with administrative permissions can create workspaces from predefined templates using the Templates application.

Templates can include specific team members and workgroups, resource requirements, and application items such as documents and tasks. When a workspace is created from a Template, these elements are automatically included in the new workspace. For information on creating workspace Templates, see Generating a Workspace Template.

TO CREATE A workspace from a template:

  1. Open the Templates application.
    The list of the existing Templates is displayed.
  2. Click a template name to start creating a workspace from that template.
    The Create Workspace wizard opens.
    Note:
    The workspace Type is preselected based on the template you are using.
  3. Type a Name for the workspace.
  4. Type a Description.
  5. If you are creating a workspace with start and end dates, type the Planned Start and Planned Finish, or click the calendar icon and select dates from the pop-up calendar. By default Planned Start is set to the current date and Planned Finish is set to a month later.
    Note: These fields appear only if you are using a template based on a workspace that includes these.
  6. Select a Priority.
  7. Type the Budget for the workspace.
  8. Select the appropriate Health.
  9. If phases are enabled, select the current Phase of the workspace.
  10. Click Next Section or the Advanced Settings tab to continue.

  11. In the Location box, select the workspace that will be the parent of the workspace you are creating. If the new workspace should be added at the top level of the hierarchy, select your PPM enterprise.
  12. Click Next Section or the Custom Fields tab to continue.

  13. Select any custom fields that you want to include.
    Custom fields are created by your PPM administrator. If no custom fields appear there are no custom fields available to be added.
  14. Click Next Section or the Applications tab to continue.

  15. Start Date: If either the Tasks application or Resource Requirements are included in the template, a Start Date is shown. This date is the current date (the original Planned Start date from step 5). To specify a different start date for the first included task in the schedule, set a new Start Date to the date on which the task should start. (Note: Changing Start Date does not change the Planned Start for the workspace.)

    Note: If resource requirements are included, these will start on the first day of the week in which the Start Date falls and so may begin prior to the schedule start.
  16. Select Resource Requirements to include these in the workspace.

    Important: If you include resource requirements, you may need to edit the requirements to adjust them in the new workspace due to the following limitations: 
  17. If the Start Date (see above) is set to a date in the middle of a week, the resource requirements will begin at the start of the week. This means that your requirements may start before your scheduled tasks. You can edit the requirements to adjust them as desired.
  18. The distribution of requirements is based on a weekly distribution in the source workspace for the template, so may appear irregular in the new workspace, especially if viewed in Month view. Total requirements, cost and revenue are correct, but may be distributed in unexpected ways. You can edit the requirements to adjust them as desired.
  19. Select any other applications to be included in the workspace.

    The applications and your options with them depend on the base workspace type and template definitions. Some applications may be required (you cannot clear their option), while others are optional, allowing you to choose whether or not to include them, their items, or their folders. If an application was included without items or folders when the template was created, the items and folders are not shown as an option.

    Note: If you include users, these are added to the workspace in their current state. This means that a user who has been deactivated (removed from the enterprise) since the template was created will be added to the new workspace but remain deactivated.
  20. Click Finish to create the workspace.
