Importing Tasks into Workspaces

In order to import tasks into a workspace, you must be a member of the workspace and the "Can Update All Tasks" permission enabled for your workspace role. Additionally, the task schedule must not be locked or checked out. You can import tasks from the following types of file:

• Microsoft Project 2010, 2013, or Microsoft Project Standard 2016 file of 10 MB or less.
• Any .xls or .xlsx file of 10 MB or less.

Important: When you import tasks into a PPM workspace be aware of the following: 

• All existing tasks in the workspace are deleted.
  • All task work is deleted from the workspace.
    This includes any approved and unapproved work logged against existing tasks.
  • The only work preserved when importing tasks is any workspace-level work logged in the workspace. Project-level work only exists if the workspace is (or once was) configured for time-tracking at the workspace level.
• If a task does not have a duration, the duration is set to one day on import.
• If a task does not have a planned start date, the planned start date is set to the planned start of the project in Microsoft Project.

1. Navigate to the workspace for which you want to import tasks.
2. On the Tasks List, click Import Tasks.
   Note: This option is only available if you have the appropriate permissions and if the schedule is not locked or checked out.
   
   If the workspace already contains tasks, a warning message displays. Any existing tasks and task work are deleted when you import tasks. Any existing workspace-level work is preserved. (Note: Project-level work is worked logged against a workspace that is configured for workspace-level time tracking.)
   
3. Click Browse to locate the file to import or type the location and file name.
4. Click Upload. A confirmation message displays if the upload is successful.
   
5. Click Next.
6. Select an Import Option:
7. Import Tasks only—Import tasks without importing the assignees
8. Import Tasks and Assignments—Import tasks including assignees. Resources in the imported file can be mapped to users in Changepoint PPM.

8. Choose a default role for workspace members from the Choose role list.
9. Select the Make All active check box to activate any workspace members who are assigned to imported tasks in the next screen.
10. Click Next. A confirmation message appears.
11. Click Yes. If you chose to import tasks only, the process is complete. If you chose to import tasks and assignments, go to the next step.
12. To add a new user to PPM, so that imported tasks can be assigned to them, click Add New User and enter user details.
13. To map imported resources to existing PPM users:

1. Click the name of a Microsoft Project resource and the name of a PPM user.
2. Click Map.
   
   Note:Tasks that were assigned to the selected resource in the imported file are assigned to the selected PPM user. If the selected user is not a workspace member, they are invited to the workspace, assigned a user role, and activated, based on the options selected in the previous screen. Repeat this step to map additional resources and users.

14. To unmap resources and users, click Unmap.
15. Click Finish. The Migration Exception Report screen displays a list of any errors or warnings (an unsupported constraint for example).

1. Navigate to the workspace you want to import the tasks into.
2. On the Tasks List, click Import Tasks.
   Note: This option is only visible if the schedule is checked in and unlocked.
   
3. Click Browse to locate the file to import or type the location and file name.
4. Click Upload. A confirmation message displays if the upload is successful.
   
5. Click Next.
6. Select an Import Option:
7. Import Tasks only—Import tasks without importing the assignees
8. Import Tasks and Assignments—Import tasks including assignees. Resources in the imported file can be mapped to users in Changepoint PPM.

8. If you are importing assignments, choose a default role for workspace members from the Choose role list. Select the Make All active check box to activate any workspace members who are assigned to imported tasks in the next screen.
9. Click Next. A confirmation message appears.
10. Click Yes.
11. Map the columns in the Excel file to task fields. If you chose to import tasks only, the process is complete. If you chose to import tasks and assignments, go to the next step.
    Note: The data type in each column must match the data type of the custom field. Mapping a column to the Name field is required. If you are importing tasks and assignments, you must map a column to the Assignees field.
12. To add a new user to PPM, so that imported tasks can be assigned to them, click Add New User and enter user details.
13. To map imported resources to existing PPM users:

1. Click the name of a Microsoft Project resource and the name of a PPM user.
2. Click Map.
   
   Note:Tasks that were assigned to the selected resource in the imported file are assigned to the selected PPM user. If the selected user is not a workspace member, they are invited to the workspace, assigned a user role, and activated, based on the options selected in the previous screen. Repeat this step to map additional resources and users.

14. To unmap resources and users, click Unmap.
15. Click Finish.
