Managing Applications in a Workspace

Project managers and other users with the workspace-level permission Can Administer Settings can use the Gear Menu to manage applications in their workspaces. Click the Gear icon and Manage Applications to open the Manage Applications page.

The Manage Applications page lists all the non-administrative applications currently included in the workspace. These may be native applications (Calendar and Documents for example) or dynamic applications (both enterprise-level and workspace-level) .

Note: Administrative applications such as Resources and Members are not included on the Manage Applications page.

The Manage Applications page toolbar allows you to:

Add an application—Available applications are determined by the workspace type of the workspace and are listed in the Add list.
Create a workspace dynamic application—Click the Add button and Create Workspace Dynamic App to open the dynamic application wizard:
Delete an application—Those applications you can delete are determined by the workspace type of the workspace.
Configure Workflow Notifications for applications—You can configure workflow notifications for those native and dynamic applications in your workspace that support this.
Configure Cross-Reference Fields—You can configure cross-reference fields for those applications in your workspace that have configurable cross-reference fields.
Additional options from the Selection menu depend on the type of application selected:
Note: These options duplicate those available in the right-click context menu.
Configure a web form for the application—A web form allows people without PPM logon credentials to add data to your application.
Set an approval policy—An approval policy defines whether or not data added to the application requires approval, and if so, by whom.
Import application data—You can import data into your application using a comma separated value (CSV) file.
Export application data—You can export application data for use in Excel or another instance of the application.
Export the application definition and/or data—You can export the application definition and/or data as XML for import into another workspace.
Change the application Name Field—You can change the Name field of a workspace dynamic application.
Edit the application—You can make changes to a workspace-level dynamic application.

Note: Project managers can export enterprise dynamic application definitions and/or data, but there is limited use for these, other than adding the application as a workspace dynamic application in another workspace. Administrators managing enterprise dynamic applications should do so from the Administrative console. See Types of Dynamic Applications for more information.
